VolCard Office

Faculty & Staff Accounts

All students, faculty, and staff are required to have a valid ID card. This card is essential for use of various University facilities and programs including libraries and University check cashing facilities. The AllStar Account (a campus wide debit account) when activated can be used for vending, food purchases and UT Bookstore purchases. With a Dining Club Account (a charge account), the card can be used to make food purchases at all Campus Dining facilities.

AllStar Account
An initial deposit is required to activate this account. It is not refundable, unless you are leaving the University.

Additional deposits can be made to the account throughout the semester.

AllStar accounts may be cancelled at your request and a full refund will be made of the balance in the account less a $15.00 service fee.

AllStar Refund Form
The balance of your account will carry over from term to term until you leave the University. If you terminate employment, any balance may be refunded for a $15.00 service fee.

You can print a Refund Form and return it complete with signature to the VolCard Office. Printing this form requires Adobe Acrobat Reader.

Dining Club Accounts
The Dining Club Account is a charge account which allows you to make food purchases at all Campus Dining facilities. Payment for charges is processed through payroll deduction. If your billing address changes, you must notify the VolCard Office immediately.

We may accept late payments, partial payments, or any payments marked as being payment in full or as being settlement of any dispute without losing any of our rights under this agreement or under the law. If we accept such payment, this does not mean we agree to change this agreement in any way.

You are responsible for reasonable attorney's fees and all collection costs incurred by the University of Tennessee or its Dining Services Contractor as a result of default or nonpayment of accounts. Said attorney's fees shall not be less than one-third (1/3) of the total amount due (principal plus interest). Additionally, you agree to authorize the University of Tennessee and its Dining Services Contractor to place a financial hold on your University VolXpress account for nonpayment. If you are employed by the University, you agree to authorize the University of Tennessee and its Dining Services Contractor to follow Collection Procedures provided by the UTK Personnel Policy.

Liability
You are responsible for all charges or transactions billed or accessed by the VolCard and any of the various accounts as part of the VolCard system.

Lost or Stolen Cards
If you suspect your card is lost or stolen, play it safe and report it immediately to the VolCard Office. This can be done on-line or by phone at (865) 974-3430, by leaving your name and ID number along with a message. The cardholder will be responsible for all usage of the card prior to the proper notification to the VolCard Office. The replacement fee is $30 for any lost or stolen card.

Ownership of Cards
The VolCard remains the property of the University of Tennessee and is governed by all its rules and regulations. Upon termination from the University of Tennessee, the card must be surrendered upon request. The University reserves the right to establish and/or change the credit limits of accounts accessed by this card at any time with or without cause or giving you notice.

Policies & Procedures
The University does not assume any legal obligation to pay for the damage to items of personal property of employees which occurs in its buildings or on its grounds, prior to, during or subsequent to the period of this agreement. Employees can carry appropriate insurance to cover such losses.

Execution of a VolCard Account application is not a commitment of employment to the University. While this application is in effect, you will be required to meet all financial obligations under the terms of this agreement.

Title or Department Change
The employee is required to bring a letter, approved by their department head on UT letterhead, stating the department and new title for this employee. With the letter, the employee must bring their old ID card to the VolCard Office in order to have the title changed on their card. If a department has a name change, a letter is required from the department head stating the new name, an account number and GL number for billing. The department will be billed for the ID’s made due to departmental changes. The employee must submit their current ID card for the new ID card or a $30.00 lost card fee is assessed.

Use of the VolCard
You agree to use the VolCard for identification purposes only or for the purchase of or access to goods and services to which you are entitled as a university employee. No other person is permitted to use this card for purchases, identification, or for any other reason. The card and its rights and privileges are not transferable and are governed by all UTK rules and regulations. When requested, the card must be submitted to the Administration for identification or other investigative procedures.
