UTK Graduate School Thesis and Dissertation Review and Approval

NEW FOR SPRING 2012: The Graduate School is testing out a new ETD approval form.

IMPORTANT ANNOUNCEMENT ON ETD POLICY

The Graduate School does not currently have a policy in place on embargoing electronic theses and dissertations (ETDs) which are made available via Trace, a digital repository maintained by the Libraries. However, we recognize the needs of students with concerns about open access to their work, particularly with issues related to sensitive or classified information, patents, and potential publishers’ restrictions.

In the absence of a formal policy we are temporarily asking students who wish to embargo their work for file an appeal to be reviewed by Dr. Carolyn Hodges, Vice Provost and Dean of the Graduate school. The appeal must be in letter form and approved by the student's thesis or dissertation advisor. It should be sent in writing to Kris Bronstad, the thesis/dissertation coordinator, at the Graduate School offices at 111 Student Services Building. Requests must include information about why a one-year embargo is being requested and must contain a signature of approval from the thesis/dissertation advisor.

Students who wish to embargo their ETDs for longer than a year must appeal again before the end of their original embargo period. The Graduate School is working to have an official policy in place for the next academic year.

THESIS AND DISSERTATION SUBMITTAL AT THE GRADUATE SCHOOL

All theses and dissertations accepted by the University as partial fulfillment of master’s and doctoral degrees must conform to certain formatting standards. Therefore, it is required that all graduating theses and doctoral students be in contact with the Graduate School’s thesis/dissertation consultant to discuss how formatting guidelines apply to their document.

At the end of the review and approval process, students will upload the final, official copy of their ETDs (electronic theses and dissertations) to the Graduate School's collection in Trace, the university's electronic repository. The Graduate School will post students' ETDs to the internet after graduation.

All theses and dissertations must be submitted in electronic format. Please disregard any of the previously published guidelines that state they are specifically for "paper" submittal (such as mirror margins). Find information about formatting your ETD (electronic thesis or dissertation) here.
