LRC Facilities and Equipment Use Policy
Facilities Use
HSS 205 and 206A (as well as 206 during peak usage times) are intended for instructional and research use that requires the special hardware and software that is unique to those rooms. Reservation of LRC rooms is on a tiered first-come, first-served basis (see below). To ensure everyone has equal opportunity, we have set reservation start dates for each semester at two months before the first day of the semester. Requests that come in during these two months will have priority over requests that come in later. We will resolve time conflicts among the requests sent in during this reservation period according to these guidelines:
- Reservation by MFLL or LRC for one-time to occasional use (faculty development, occasional MFLL course use, other functions)
- MFLL courses that require heavy to daily use of the special hardware and software unique to the LRC (requires departmental approval BEFORE making the request)
- MFLL courses that require heavy to daily use of A/V equipment but cannot be placed in an appropriate room by the Office of the Registrar (requires departmental approval BEFORE making the request)
- Reservation by other units for one-time to occasional use that requires the hardware or software unique to the LRC as deemed appropriate by the LRC Coordinator and MFLL Head
- Courses from other units that require heavy to daily use of the hardware or software unique to the LRC as deemed appropriate by the LRC Coordinator and MFLL Head
In the past the LRC has been available for courses from other units that require heavy to daily use of A/V equipment but cannot be placed in an appropriate room by the Office of the Registrar. This practice is being discontinued. The use of the LRC has increased to a point where it is difficult to use it in this manner without disrupting the original intent of these rooms, which is to provide a unique international multimedia venue for MFLL students in particular, and UT students in general. We will try to be equitable across MFLL courses and instructors. Thus, an instructor who has used the LRC heavily in a given semester might be asked to make adjustments in the future when there are schedule conflicts.
Instructors requiring access to a conventional A/V classroom are encouraged to seek access to university resources. (Please contact the Instructional Services Center, the Innovative Technology Center, or your departmental scheduler)
To reserve an LRC room, please submit an online reservation request. If the form is not fully completed, the LRC can not assure that the room will meet your needs and you will be directed complete the form or seek access to other university resources.
By requesting reservation, you agree to accept responsibility for any loss and/or damage of property during your reserved time and to adhere to the rules of conduct in the LRC. If you are not comfortable with these obligations, we invite you to contact the Instructional Services Center, the Innovative Technology Center, or your departmental scheduler to discuss alternate accommodations.

Equipment Use
- MFLL teaching personnel (faculty, lecturers, TAs) may reserve and borrow equipment from the LRC.
- For teaching personnel in other departments, only those with courses in the Humanities and Social Sciences Building may request LRC reserve equipment. In addition, Lecturers and TAs from other departments should submit verification from their department head that they are teaching in HSS to reserve LRC equipment.

- If you are in a "smart" classroom, you probably already have most of the equipment you need. Check here for more information on these special classrooms on campus.
- The LRC encourages advance requests (3 p.m. prior to the day equipment will be checked out) of reserve equipment, but reserve equipment CAN be checked out on shorter notice.
- Please be considerate of LRC staff and observe the following common-sense guidelines:
- Equipment can be checked out if it is available (i.e.: Not reserved for another patron during the planned period of use).
- In addition to checking out the reserve equipment (staff ID is required), LRC staff will need to know the course for which you are using the equipment, where it will be used, for how long, etc. in order to fill-out a reserve request for you.
- Faculty borrowing LRC reserve equipment should present an appropriate ID to the staff person (often a work study student) who checks out the equipment. (This prevents putting LRC staff in the situation of handling out reserve equipment to unauthorized persons, such as students). Remember there are over 130 staff persons in MFLL in addition to staff from other departments who use LRC equipment.
- You may NOT send a student to pick up or return equipment. This is our reasonable attempt to ensure the custory of the equipment and protect both students and faculty from the consequences of potential mishaps.
- In order to make reserving more flexible, you may place a standing reservation for a week, a month, or even the semester. Please indicate any special requirements in the "optional comments/special request" box at the bottom of the form.
- Non-reserve equipment is available for check-out by MFLL faculty on a first-come, first-served basis.
- The LRC reserves the right to modify this general policy during times of limited staffing, such as mini-term and summer semester.
