Engineering Services operates and maintains a state-of-the-art video conferencing system for transmission of classes, administrative meetings, job interviews or depositions. Video conferencing is provided over a robust network of dedicated T1 services across the state. Engineering Services maintains three video conferencing rooms that may be reserved. The largest room has seating capacity for 25 people. Engineering Services also maintains portable systems that can be set up at remote locations on campus.

Video conferencing support includes but is not limited to the following:

• Design, procurement, and implementation of stand-alone systems for administrative offices, conference rooms and portable units
• Video conference bridging services for multi-site conferences
• Proctoring and monitoring support for DE classes
• Recording and archive services for videoconferences in both WinMedia and Quicktime formats

Costs

Engineering Room usage:
 
UT Department $25 per hour
State of Tennessee Public Organization (TBR, TN Gov, K-12, etc) $40 per hour
Private or out-of-state organization   $125 per hour
 
ITES ES portable video conferencing unit $40 per hour per site
 
Bridging Services:
 
UT Department $40 per hour per site
State of Tennessee Public Organization (TBR, TN Gov, K-12, etc) $75 per hour per site
Private of out-of-state organization $125 per hour per site
Flat-rate usage (Unlimited usage of the bridge and other VTC services)            $5000 per year

Scheduling

Click here to request video conferencing services. Requests should be made at least three working days prior to the video conference.  Conferences may be requested up to six months in advance.  Requestor’s will receive a confirmation email once all sites are tested (if needed) and confirmed.  Conferences may be cancelled up to 24 hours before start time.  Conferences cancelled less than 24 hours before start time will be billed. 

In the event of a scheduling conflict, for-credit classes take priority over all other types of conference.  All others are handled on a first-come first-served basis.

Services may be used by ALL UT staff and students.  If the user is paying for services directly and not through a UT account then we will accept payment by check on the day services are rendered.
