GUIDELINES

You may freely copy and distribute this program.

Please, distribute the self-extracting file "VERSION1.EXE" and not
portions of the program. 










PROGRAM REQUIREMENTS
==============================================

To run the Pesticide Recordkeeping Program, you must have:

An IBM (or compatible) personal computer with at least 512K RAM. 
RAM above this will improve the program's performance.  You will
need DOS version 2.0 or above.

You will need approximately 6 megabytes of hard-drive space for
decompression.  After it is decompressed, the program will take
approximately 4 megabytes of hard drive space.  As you add
additional records, more disk space will be needed.  Remember to
remove from your hard-drive the self-extracting file named
"Version1.exe."

Your config.sys file located in the root directory of your hard
drive should have the following lines:

FILES=40
BUFFERS=32

You may already have these statements in your config.sys file but
with lower settings.  You will need to increase the settings in the
config.sys file for proper functioning of the Pesticide
Recordkeeping Program.

These settings may not be required in Windows 95.

The following list includes printer drivers included with this
program.  If you do not have one of the following printers, choose
the generic printer listed selection J. This should work.

INSTALLING THE PESTICIDE RECORDKEEPING PROGRAM
==============================================

 1)   Create a directory on your hard drive by typing: 
           MD\RECORDKG
      at the DOS prompt, usually on C:\> Drive
 


 2)   Place floppy disk into "A" Drive
 3)   type "COPY a:\*.* c:\recordkg"  
           a) when it finishes copying, remove the diskette
 
 4)   Change directories to c:\RECORDKG, by typing cd\recordkg. 
      At the c:\recordkg> prompt, type VERSION1 to begin the 
      self-extracting process. 

 5)   Type RECORDS to begin the program.
 
 6)   If you need further assistance, please see the instructions 
      below or call Darrell Hensley at (423)974-7138.
 
 7)   You may want to delete or erase the self extracting file when
      the extraction has been completed.  Just type DELETE or ERASE
      VERSION1.EXE.  If this file is not removed, you may
      lose data if the self extracting file is invoked again.

Three records have been placed into the database just for example
purposes.  You may remove them by using the Alt-D keys and then
update your database in the Indexing Menu Section.


DEFINITIONS
==============================================
Record =  includes several fields, such as first name, last name, 
          crop, etc....
Field =   one record may contain several fields.  The "First name" 
          is a field.
Marked =  A record that is marked will have a DEL located on the  
          bottom of the screen.  When you access the INDEXING MENU 
          section you may select the "F) PURGE/DELETE" and
          the records will be deleted. 
          
Updating/Update =  this function will place records into          
                   alphabetical order.


FUNCTIONS OF THE PROGRAM
==============================================
After you have copied the program onto your hard-drive and it has
been decompressed, just type "RECORDS" to begin.  You may get an
error at first.  Just press the enter key.  You may get a total of
two error messages.  Press the enter key when you get these
messages.  After installation, the program looks for the necessary
files; however, it may not find them.  If you press the enter key
when you get the error messages, it should find the correct path
for the files.  When you get to the main page of the program it
should have a UT logo on it.  Press the enter key again and it will
continue to the main menu of the Pesticide Recordkeeping Program. 
If you exit the program by pressing the Q key to quit and then
reopen the program again by typing RECORDS, no errors should
appear.


MAIN MENU
-------------------
The main menu has four options: V to view, P to print, I to index
and Q to quit. 


  Viewing records
  -------
If V is pressed when on the main menu page, you will move to the
viewing area.  You will have several options available, such as:
Change, Enter, Browse, Find, Index, Main Menu, Options and Tools.

 Change  - allows you to change information in a record.
 Enter   - allows you to enter a new record.
 Browse  - allows you to view and/or change multiple records.
 Find    - allows you find a specific record or records.
 Index   - allows you to select one of the five indexes.
 Main    - allows place you back on the main menu page.
 Options - has several functions: searching, finding, etc.
 Tools   - has no functioning capability at this time.

When you are in view mode or browse mode, you may mark records to
be deleted.  Use the ALT-D keys to mark a record as deleted and
ALT-U to mark the record to be undeleted.  To remove the marked
records from your database, you must go to the Indexing Menu and
select Delete/Purge.  This will remove all marked records from your
database. 


  Printing records
  --------
      A) Select a printer & print records 
      -----------------------------------
There are several printers available in this section.  Choose A -
K. If these do not work and you need a specific printer, please
contact Darrell Hensley at (423) 974-7138.  See the introduction
page for a mailing address.
      
  Indexing records
  --------
There are only five types of indexes.  These include date,
applicator, landowner, supervisor and location.  Other functions
listed under the Indexing Menu will allow you to update indexes and
delete or purge marked records.

INDEXING
--------

Indexes are used to determine the order in which the records in a
database are accessed and to quickly locate records in a database. 
A major advantage of indexes is that they eliminate the need for
the time-consuming process of physically sorting the data or
database.

You may index by date of application, applicator (person who
applied pro-duct), landowner, supervisor or location.  If you have
added more records, you will need to update the indexes prior to
printing.

Delete/Purge
----------------------
If you have marked an item to be deleted using the ALT-D keys, you
may remove the unwanted items by choosing the "F) Delete/Purge
selection" in the INDEXING MENU section.  This will remove marked
files and update the indexes.


PRINTING
------------------
When a printer is selected, the program will begin to print. 
Output of the program will be directed to the parallel port (LPT
1).

If you can not print to the LPT 1, you may redirect your printing
to LPT 2, or to serial ports COM 1 or COM 2 by adding a statement
to your "autoexec.bat"  file.

See your Disk Operating System (DOS) manual for specific directions
on redirecting print jobs.  In many DOS manuals this is referred to
as a MODE command.

You may also print one record at a time by pressing the PRINT
SCREEN key or by pressing the SHIFT key and PRINT SCREEN key at the
same time.


A4MOVAPP
-------------------

If you do not wish to place the program on C: drive, you can use
the a4movapp command to change the settings from C: drive to
another drive.

If you would like to run it from E: drive, copy the version1.exe
file to a directory.  After you have created a directory and placed
the version1.exe into the directory, type Version1. This will let
the program expand on the hard drive.  Then type A4MOVAPP -E.  This
will let the program know data files will be located on E: drive.

NOTE:   You can type A4MOVAPP ? to receive help for this utility.


SETUP
-----------
To change the monitor type from color to monochrome, type SETUP in
the directory where you have copied the files and answer the
questions.


PROGRAM FUNCTIONS
---------------------------
  Alt-D  =   marks a record for removal. It will be removed when  
             you purge.

  Alt-U  =   will unmark a marked record.

  Alt-R  =   will copy the previously viewed record to the new    
             record area.  You may use this function if information
             that is in the previous record will be similar to    
             information that will be placed into the next record, 
             such as applicator's name and ID number.


POSSIBLE ERRORS
---------------

After the program has been extracted on the hard drive, you may get
an error.  Just press the enter/return key.  You will probably get
a total of two errors when loading the program; however, just
press the enter/return key.  After you have loaded the program,
this will not occur again unless you move the program and/or
program files to another directory.

either federal recordkeeping requirements or the Worker Protection
Standard.
