Prior to Defense


  1. Submit your Admission to Candidacy Form - deadline date.
  2. Read the Guide to the Preparation of Theses and Dissertations.
  3. Meet with Thesis/Dissertation Consultant for preliminary review after writing a couple of chapters. Be sure to have the format of the approval sheet checked before the defense.
  4. Complete your thesis or dissertation.

During the Semester of Defense and Submission


  1. Submit the Graduation Application to the Graduate Records office, 209 Student Services Building and pay Graduation fee by published deadline date.
  2. Master's students - Schedule your defense through the deparment by published deadline date.
    Doctoral students - Schedule your defense through the Registrar's Office, 209 Student Services Building, by published deadline date by submitting the Final Examination Form.
  3. Defend your thesis/dissertation by published deadline date and have your committee sign your Approval Sheet.
  4. Submit your Pass/Fail form by published deadline date to the Registrar's Office, 209 Student Services Building.
  5. Make changes to your thesis or dissertation as your committee requests.

Create and Submit your ETD


  1. Use Adobe Acrobat Distiller to convert your word processing document to a pdf file. If links are desired, be sure to utilize the options available in Distiller to embed links in your document.
  2. Work with the Thesis/Dissertation Consultant until your ETD passes review.

Helpful Hints:

  • Have you included all required parts of ETD (see Guide for details)?
  • Have you checked your pdf file for missing pages, poor font translation, and other anomalies?
  • Are all internal and external multimedia objects and files present?
  • Have you checked that all your pages are numbered correctly?
  • Have you included the first page, your ETD Approval sheet?
  • Have you included the last page, your Vita?

Submission Process


  1. Collect all the electronic files you need to submit. One Adobe Acrobat® pdf file of the thesis/dissertation (make sure to include the ETD Approval Sheet) and all original file(s)used to create the document (e.g., word processing, spreadsheet, multimedia software package files).
  2. Name all files according to the convention for file type (e.g., name PDF files with the ".pdf" suffix, name GIFs with a ".gif" suffix, name Word files with the ".doc" suffix, etc.).
  3. Bring/send all files to the Thesis/Dissertation Consultant, along with one paper approval sheet with original signatures on any brand of acid free paper. Doctoral students will also need to submit paper copies of the Survey of Earned Doctorates, an abstract form and the Doctoral Dissertation Publishing Agreement form. These forms will be provided to you by the Thesis/Dissertation Consultant during the submission process.

After You Submit Your ETD


Your document will be uploaded to the ETD website approximately four weeks after conferral of the graduate degree. At this time, it will be in the public domain and freely available for download via the ETD website and UT Libraries Catalog.
