Distilling Your Document in UT Computer Labs


Currently, there is a known problem with Adobe Acrobat 5.0 and Windows 2000. This problem prevents the PDF Maker icon from within Word from working. If you try to use the PDF Maker in Word, you will receive an error message.

The Lab Services group within the Office of Information Technology is working hard on a way to get around the problem until the problem is corrected by Adobe.

If you use the computers in Humanities or Glocker to convert your Word or Corel WordPerfect document to Adobe, you must do it in the following manner:

1. Open your document in the word processor.
2. Click File--Print. When given the option to choose your printer, select “Acrobat Distiller.”
3. Wait while Distiller converts your document to PDF format. This could take a few minutes depending on the length of your document.
4. Navigate to where you want to save the PDF and Name the new PDF. The extension of the file will be .pdf.
5. Open the PDF document that you just created.
6. Double check the document for formatting. Pay special attention to ensure that special characters have been rendered correctly. Make necessary corrections to the PDF by using Acrobat's TouchUp Tools. (If a correction needs to be made to the word processing file, make the correction in the word processor and repeat the above steps.)
7. You may add bookmarks, links, video and/or audio clips from within Acrobat.
8. You may also combine your PDF documents into one single file using the instructions below.


If your document is in more than one file, you may add files to your PDF from Adobe. First you must convert all your files to the PDF format. Follow these steps to create a PDF document with all your files.

1. From Adobe Acrobat, open the file that has the first page of the final document. (Probably your Approval Page).
2. On the toolbar, click Documents--Insert Pages.
3. At this point, you Select your next sequential document and specify After and Last Page.
4. Click File--Save As and save the file with another name. Note: You may actually insert the files in any order, but it is easier to do them in order.
5. Be sure to check your final document for consistency in page numbers, sequence, rendering of special fonts, etc.
